What the job involves
The work involves responsibility for operating a telephone switchboard utilizing a computerized console and for performing ancillary reception and clerical tasks. The work is carried out in accordance with County and department policy and procedures and involves projecting a courteous and helpful image both on the telephone and in person while providing both telephone and face-to-face informational assistance. This class differs from that of Telephone Operator I by virtue of having increased inter-personal responsibilities with staff and the public. Work is performed under the general supervision of the assigned supervisor with leeway allowed for the exercise of independent judgment in screening and directing calls and people. When assigned to Residential Health Care Services, involves working shifts and weekends. Incumbents do related work as required.
Minimum qualifications
Your application must clearly indicate
possession of the following requirements:
(A) One (1) year of office clerical experience which shall have included operating a multi-line telephone or switchboard; OR
(B) Six (6) months full-time experience operating a multi-line telephone or switchboard. You must submit a complete application. Please be sure to answer all questions including dates of employment (month/year), number of hours worked per week and a detailed description of your multi-line telephone or switchboard as required by the qualifications noted above. A resume may NOT be submitted in lieu of completing the application. Applications that do not clearly indicate the required experience will be disapproved. This examination is administered on weekdays, during the third week of the months listed above, at the Department of Human Resources in Goshen. Candidates are urged to note any dates that pose a scheduling conflict on their application. Candidates may confirm their scheduled date two weeks after filing an application by calling (845) 291- 2730. Candidates approved for the examination will receive a letter of admission approximately one week prior to their scheduled exam date. Candidates who have not received correspondence or an admission letter three days prior to the exam week should call this office. The Orange County Department of Human Resources reserves the right to alter the examination schedule or to terminate the continuous recruitment program at any time. Successful candidates will have their names inter-filed on a continuous recruitment eligible list in rank order regardless of the date on which the test was administered. A candidate’s eligibility will be for a period of one year beginning on the date their name was added to the list. Candidates are permitted to participate in this examination series at one-year intervals. A promotional continuous recruitment eligible list will also be maintained in the Telephone Operator II title for the Department of Social Services. The promotional list containing names of permanent employees will be certified first when vacancies occur in this department. -continued-
Subject of examination
(Entry Level Clerical Series- Group 7) This test will be administered on a personal computer (PC). Candidates need no prior knowledge of computers to take the test. The test uses a simple point-and-click system that is thoroughly explained through an animated instruction program. Candidates will be given a sample test on which to practice before the actual test begins. This exam is designed to test for knowledge, skills and/or abilities in such areas as:
1. Alphabetizing - These questions test your ability to file material in alphabetical order.
2. Clerical Operations with Letters and Numbers - These questions test your skills and abilities in clerical operations involving comparing, checking and counting. The questions require you to follow the specific directions given for each question which may involve alphabetizing, comparing, checking and counting given groups of letters and/or numbers.
3. Using a Directory - These questions test your ability to keep directory records and to supply accurate information to callers. The New York State Department of Civil Service has published a test guide intended for candidate preparation for the Entry Level Clerical Series.
